Student Employee Classifications

Student Assistants

Enrolled in 6 or more credit hours during fall or spring semester, or 3 or more credit hours during summer semester. Limited to working 20 hours per week in all UGA positions combined. Reports worked time in OneUSG and paid bi-weekly according to hours worked.

Temporary Assistants

Enrolled in less than 6 credit hours during fall or spring semester, or less than 3 credit hours during the summer semester. Can work up to 40 hours per week in all UGA positions combined. Reports worked time in OneUSG and paid bi-weekly according to hours worked.

Graduate Assistantships

A salaried student employment opportunity for graduate students. Graduate assistants work a set number of hours per week and, in return, receive a tuition waiver and, oftentimes, a monthly living stipend. New assistantships cannot be created ad hoc.

Students working on assistantships (Graduate Assistants, Graduate Research/Teaching Assistants) do not report their worked time in OneUSG, but they must be hired through the UGAJobs hiring process.

Federal Work Study

Need-based aid and only available to students who qualify after completing a FAFSA.

Student Employment Hiring Overview
Step 1: Hiring Manager/Supervising Faculty or Staff
  1. Identify student hiring need and obtain unit approval
  2. Work with Business Office to determine source of payroll funding
  3. Identify student(s) to hire using Handshake or other sources
  4. Submit Student Hiring Request and Position Action Form to Terry HR
Step 2: Terry College HR
  1. Request/prepare position in UGAJobs
  2. Provide a posting link for the student to apply in UGAJobs
Step 3: Student
  1. Submit application in UGAJobs using link provided
Step 4: Terry College HR
  • Submit request to hire to UGA HR
    For positions of trust, provide background investigation instructions for student’s action
Step 5: UGA HR
  1. Review and approve hiring and set start date
    For students not currently employed on campus, send onboarding packet to student
Step 6: Student

If new to UGA employment, complete onboarding packet within first week of employment.
Note — OneUSG access is required for some onboarding items and access is available on start date.

Request to Hire a Student Employee

The Student Hiring Request and Position Action Form is for the UGA Terry College of Business only. Supervising faculty or staff should submit this form to initiate the hiring process for a student employee. 

Students SHOULD NOT use this form to apply for employment. 

Active student employees do not have to be rehired for the following academic year if not working in the summer. 

Most Common Hiring Delays 

  • Missing or incomplete information on Student Hiring Request Form
  • Background vendor is experiencing delays (Positions of Trust only)
  • Incomplete information provided on UGAJobs application
  • Student doesn’t give consent for background investigation 
Student Employee Payroll and Time Management

OneUSG Connect is our payroll and time management system. It is used to access payroll forms, view paystubs, and report time for some position classifications.

How to Login:

  1. Go to: OneUSGConnect.usg.edu (bookmark this link)
  2. Click the “OneUSG Connect” button on the right 
  3. Select the University of Georgia logo 
  4. Login using your MyID and password 
  5. Authenticate through DUO 

Time Reporting for Student Assistants and Temporary Assistants

Student assistants and temporary assistants must report their worked time daily in OneUSG.

Student Assistants/Temporary Assistants are paid bi-weekly. Pay dates and time reporting deadlines are on the Biweekly Payroll Calendar (2025).

Supervisors for student/temporary assistants should approve their student employee’s worked time each week adhering to time approval deadlines on the Biweekly Payroll Calendar (2025).
