NATURE OF WORK
This is responsible clerical and supervisory work involved in monitoring the supplies and equipment inventory for a major university unit.
Work involves supervising and participating in many phases of property control to include processing purchase orders, invoices, property bids; maintaining necessary property accountability records; receipting and disposing of supplies and equipment; supervision or advisory responsibility for property budgets and petty cash funds; maintenance of lease and rental contracts and vendor agreements; conducting periodic inventories. An employee allocated to this class exercises independent judgment within the limits of established policies and rules. Work is reviewed through periodic audits and inventories and through observation of services rendered.
ILLUSTRATIVE EXAMPLES OF WORK
Supervises and trains personnel in the overall property management of a major university unit.
Prepares purchase orders and bids and reviews invoices for accuracy.
Maintains a complete record system of property inventory and location, vendor correspondence, and associated records.
Inspects supplies and equipment received and labels property for future identification.
Issues property through appropriate channels.
Inspects equipment for damage and initiates repair or disposal action.
Maintains catalogue files of potential suppliers.
Assists in the design of preliminary budgets for the property control unit and maintains cash funds.
Prepares reports for supervisors, auditors, and department heads.
Performs related work as required.
DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS
Thorough knowledge of the nomenclature and types of equipment and supplies common to the unit or department.
Considerable knowledge of methods of accountability and record keeping for property control.
Ability to supervise the work of others.
Ability to maintain effective working relationships with unit or section heads, vendors, and the general public.
DESIRABLE TRAINING AND EXPERIENCE
Graduation from a standard high school preferably supplemented with additional course work in office management; experience in supervisory positions; or any equivalent combination of training and experience.
