NATURE OF WORK
This is highly responsible clerical and limited administrative work in maintaining curriculum records for all schools and colleges of the university.
An employee allocated to this class of work performs complex clerical duties which involve independent judgment based on experience and knowledge of institutional policies and procedures. Work involves monitoring, posting, and processing university forms required for any change in curriculum and maintaining a large and complex filing system which often involves administrative discretion. Work also includes preparation of materials for publication, where accuracy is received from an administrative superior, but initiative in recognizing and completing tasks is necessary. Work is reviewed through observation of results.
ILLUSTRATIVE EXAMPLES OF WORK
Answers questions requiring interpretation of routine curriculum rules, policies, and regulations by phone, in person, or by composing correspondence.
Maintains voluminous and relatively complex curriculum records filing systems.
Maintains extensive records of curriculum activity for all schools and colleges including breakdown posting, activity books, corrections to, and updating the master course inventory report.
Assists in the preparation for publication of all undergraduate and professional bulletins including collecting materials from each school or college, reviewing core curriculum requirements for accuracy and uniformity, correcting errors, deleting inactive or obsolete courses, and checking and correcting printer's galley proofs, page proofs, and Van Dykes.
Proofreads for content and technical accuracy any information issued from the curriculum office.
Types letters, minutes, prepares manuals requiring the use of curriculum prefixes, suffixes, egis coeds, etc.
Receives and processes curriculum forms and reviews them for accuracy and completeness.
Assists in setting up meetings for the bulletin committee and telephones members regarding these meetings.
Prepares correspondence for mailings.
Types and mails agendas and minutes.
Performs related work as required.
DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS
Considerable knowledge of clerical and administrative practices required to coordinate a central records system.
Considerable knowledge of the regulations and procedures regarding curriculum matters.
Knowledge of publications procedures including proofing, editing, and correcting proofs.
Ability to recognize and complete necessary tasks with minimum direction.
Ability to establish and maintain complex records.
Ability to establish and maintain effective working relationships with others.
Ability to recognize and maintain the confidentiality of records concerning various curriculum matters.
Ability to recognize the necessity for complete accuracy in the maintenance of records.
Skill in the operation of various office machines.

DESIRABLE TRAINING AND EXPERIENCE
Graduation from an accredited college or university preferred, with considerable experience in administrative or clerical work; or any equivalent combination of training and experience.
