NATURE OF WORK
This is secretarial work of limited complexity and variety which follows prescribed procedures and which may involve taking dictation in shorthand and transcribing it by typewriter. The time spent in stenographic work may vary considerably among positions in the class.
ILLUSTRATIVE EXAMPLES OF WORK
Transcribes dictation, using shorthand and/or Dictaphone consisting of correspondence, memoranda, manuscripts, technical and administrative reports, and other material. May take dictation using shorthand.
Receives, reads, and routes mail; composes some routine correspondence.
Provides necessary information; aids students and others in filling out forms, in registering for classes, and in other routine procedures; maintains appointment schedules; receives telephone calls and provides routine information, or directs calls to the appropriate persons.
Types articles, quizzes, minutes, reports, tabulations, manuscripts, bulletins, forms, statements, and other documents from copy or rough draft; types stencils, proofreads typed copy.
Maintains files for fiscal and academic records; gathers data from files and prepares reports of a routine nature; makes basic mathematical calculations and tabulations; prepares forms and routine letters relative to information contained in files.
Calculates, types, posts, and balances on-complex financial statements, reports, vouchers, requisitions, journal sheets, inventories, payrolls, or expense accounts from standard sources making routine arithmetic computations or checks for accuracy.
Operates various office machines which may be used with little training, such as a mimeograph, ditto, small photocopy, robotype, adding, and address-o-graph machines.
Performs related work as required.
DESIRABLE KNOWLEDGE, ABILITIES AND SKILLS
Knowledge of stenography and/or machine dictation, and ability to transcribe accurately.
Knowledge of business English, spelling, punctuation, and arithmetic.
Some knowledge of modern office practices, procedures, and equipment.
Ability to make routine arithmetical computations and tabulations accurately.
Ability to meet officials, students, and visitors pleasantly and courteously, and to effectively convey routine information.
Skill in the operation of a typewriter.
DESIRABLE TRAINING AND EXPERIENCE
Graduation from a standard high school, including courses in typing, shorthand, and general business, supplemented by some secretarial experience; or an equivalent combination of training and experience.
