NATURE OF WORK

This is responsible clerical work in the maintenance of student academic permanent records at the institution.

Work involves training new recording personnel, sorting and distributing incoming mail, and assisting supervisor in reviewing and correcting irregularities in students' academic records and error reports. This class of work differs from the Recorder I in that this employee acts as a lead worker performing coordinator tasks over other recording personnel. Work is reviewed through periodic conferences and the observation of results obtained.

ILLUSTRATIVE EXAMPLES OF WORK

Sorts and distributes incoming mail and maintains an alphabetic file on "flag letters" that contain problems with students' academic records.

Sorts and forwards processed documents.

Assists supervisor in reviewing and correcting irregularities in students' academic records and error reports.

Adds and drops students from final grade rolls.

Distributes a variety of lists and reports to appropriate schools and departments.

Updates and maintains recorder's manual.

Assists supervisor in processing the incoming confirmation rolls.

Acts as back-up during supervisors' absence.

Trains new recorders and coordinates the implementation of new policies.

Performs related work as required.

DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES

Considerable knowledge of the admissions process, as well as the registration, grade processing, and graduation procedures.

Considerable knowledge of appropriate codes utilized in maintaining students' records.

Considerable knowledge of current institution, regent, state, and federal regulations pertinent to the collection, maintenance, and release of public and confidential information.

Ability to function as a group leader on special projects.

Ability to supervise the work of others.

Ability to analyze and solve unusual and non-repetitive problems related to student permanent records.

Ability to establish and maintain effective working relationships with other employees, students, faculty, and the general public.

DESIRABLE TRAINING AND EXPERIENCE

Graduation from a standard high school; and two years of experience related to this class of work; or any equivalent combination of training and experience.
