Planning Your Project
- Who is your audience?
Current students? Potential students? Alumni? Donors? - What is your message?
What is the purpose of your publication? Are you promoting an event? Raising awareness of a new program or initiative? - Will this print project require a web presence?
Will the content for the publication be used on a website? - Do you need help developing content?
Will you or your department provide content for your publication? Do you need help developing content? Our writing team is also available for copyediting/proofreading services. - What is your budget?
A budget will allow the design team to create an effective and affordable product. - What quantity will print?
Quantity can affect price or printer choice. - What is your deadline?
Is the publication tied to a specific event? Different types of projects require more or less time depending upon the scope of the project and the time of year. - Will you need photography?
Requesting Print Services
Different projects require different schedules. Refer to our Service Level Agreements for more information about production schedules. If you are ready to initiate a print project, please review our SLAs and then fill out a job request form. Someone will respond to your request within two business days.
Defining Content
- Text will be supplied and already composed, edited, and typed by Client. The content given to the print production team by the copy due date should be considered full and complete. However, it is understood that text changes may occur during the production process.
- Photographs should be supplied in digital format and must meet minimum resolution requirements (300 dpi). Acceptable formats include
jpg, psd, tif, oreps.Gifs are not acceptable for print. - Logos or other graphic elements should be
epsfile format, butjpgand/ortiffmay be acceptable.Epslogos should be vector-based (Adobe Illustrator) if at all possible.

You may also return corrected proofs as a marked up PDF. Do not send revised copy in a word document. Spellcheck will be run on all documents; however, punctuation, grammar, and content are sole responsibilities of the Client.
Approval Process
Every project must be approved by the Dean’s Office. The print production team will route the appropriate proofs to the Dean’s Office for approval.
Printing/Bid Process
The print production team will obtain bids from vendors and pass along that information to the client.
The client is responsible for the paperwork associated with payment of printing services, whether via purchase request or p-card.
It is important that a client know the printing budget for a project because different budgets required different procedures. A ballpark figure is acceptable. The print production team works with a variety of clients who have different definitions of “inexpensive” and “sky’s the limit.”
The quantity also can affect the cost of printing and/or the type of printing services required.
The bidding process for high-cost projects can take more than two weeks. Simple projects can often be printed within Terry College through Logistics or on campus at Central Duplication Services.
